The Role

 

The Assistant Administrator / Receptionist is responsible for managing the Institute reception desk and performing all duties necessary to support the student services.

 


Main responsibilities and functions

 

The position will have responsibility for:

 

·         Frontline enquiries and reception duties - dealing with customers, students and visitors to Institute either in person, or by telephone, e-mail etc

 

·         Managing the Institute’s Reception Desk and resources to ensure it is welcoming, informative and accessible for all

 

·         Supporting the updating and development of the Institute’s Student Management System

 

·         Supporting students on welfare activities, including registration, orientation, and other related activities, as and when required

 

·         Producing and issuing supporting letters to students upon request

 

·         Receipting the collection of student assessments on deadline days and working closely with the tutors to prepare for submission dates and compiling student assessments

 

·         Assisting with activities to support local marketing and recruitment activities 

 

·         Any other duties as required from time to time by the Director   

 

  

Candidate profile

 

The successful candidate should be customer orientated and performance driven. In addition the successful candidate will have:

 

·         Experience of working in a busy customer service environment 

 

·         Proven commitment to proactive customer service

 

·         Strong interest in working with students 

 

·         Experience of working with databases and strong record keeping skills

 

·         Excellent organizational skills and a willingness to work flexibly 

 

·         Good written and verbal communication skills, including a pleasant and professional personal and telephone manner

 

·         Administrative IT skills (Word, Excel, PowerPoint, e-mail, etc)

Job Description        

 

·         To assist the Director with the day-to-day operational management of the Institute’s administration, including HR, teaching and learning support, and general office management. 

 

·         To assist the Director with the recruitment, appointment and appraisal process of the staff. 

 

·         To service the committees and minutes taking, action planning  

 

·         To undertake other administrative tasks associated with the college, including the organisation of meetings. 

 

·         Contributing to the production, updating, maintenance and distribution of publicity materials (such as Prospectus, website) and standard documentation for students and staff (such as handbooks, forms, publicity material, newsletters) be they in paper form, on websites or other formats.

 

·         Operating the Institute’s systems and processes for student applications, admissions and enrolments for all types of programmes of study.

 

·         Responding to enquiries from academic and administrative colleagues and external organisations, in a professional and customer-focussed manner

 

·         To assist the Director in the development of business and financial plans. 

 

·         To work with the director to manage the Institute’s estates function, including space management 

 

·         To support the Director in the organisation of both internal and external events, leading a small task group if necessary. 

 

·         To ensure compliance with legal and regulatory requirements in respect of equality and diversity, data protection, copyright and licensing, security, financial and other procedures and codes as appropriate. 

 

·         You may be asked to perform other duties occasionally which are not included above, but which will be consistent with the role.

 

 

Person Specification Essential Criteria

 

Expertise/Competence/Skills

 

·         Flexible and adaptable approach to work, with a strong customer focus and a commitment to developing and delivering excellent support services to staff, students, visitors and external organisations.

 

·         Good IT skills, including MS Office, Word and Excel and database packages.

 

·         Demonstrable ability to establish and maintain effective working relationships with a range of internal and external contacts.

 

·         Evidence of the ability to organise, prioritise and plan time and resources for both self and team, ideally with experience of working with limited resource.

 

·         Educated to degree level or equivalent level of experience, with a demonstrable evidence of a commitment to continuing professional development 

 

·         Proven capability to work with limited supervision and as part of a professional team, exercising personal responsibility and initiative and working proactively to meet agreed objectives across a varied workload. 

·         A proven ability to understand and convey information which requires careful explanation. This refers to both written and oral information and includes the ability to conduct presentations and/or run training sessions

 

 

Desirable Criteria

 

·         Previous experience of working within an Education setting.

 

·          Knowledge and/or experience of working within HR student services and/or finance.

 

·          Evidence of a commitment to delivering excellent customer service.

The Role

 

We are seeking to appoint an hourly paid lecturer of Management Studies with excellent communication and presentation skills to undertake teaching and associated duties. The role will involve the delivery of Level 7, ATHE, Post Graduate Diploma in Strategic Management. This will involve teaching Units on Organisational Behaviour, Finance for Strategic Managers,

 

Global Business Strategy, Strategic Resource Management, Research for Senior Managers

  

Key responsibilities and accountabilities: 

·         To deliver high standards of teaching and learning and to monitor the assessment processes in accordance with the requirements of the awarding body and the college. 

 

·         To co-ordinate and maintain records of formative and summative assessments of students' learning.

 

·         To evaluate the effectiveness of the subject through the application of the subject and evaluation process.

 

·         To comply with student and course management procedures including administration such as the completion of registers.

 

·         To design the module handbooks and assignments to ensure effective learning and coverage in accordance with course outcomes and to liaise with the Director to ensure that it is cohesive and sensitive to student needs.

 

·         To identify, share and embed good practice and resource in teaching, learning and assessment and subject leadership.

 

·         Any other duties that may reasonably be requested by the management from time to time. Be willing to undergo professional training; to attend internal and external courses, as well as providing feedback on any training undertaken.

 

Candidate profile

 

·         A degree in the relevant discipline

 

·         Two to three years of teaching experience at HE and in the UK  

 

·         Good Oral and written communication skills 

 

·         Prepared to work with Institute’s policies  

 

·         Ability to manage the courses effectively 

 

·         Interpersonal skills and team work
